How The Tutor Genie collects, uses and protects your personal information.

This policy explains what personal information The Tutor Genie collects, why we collect it, how we look after it and the choices you have. It applies to this website, our booking form and our tutoring lessons.

Who we are

The Tutor Genie provides one to one tutoring for primary school children from 150 Nursery Lane, Alwoodley, Leeds LS17 7AQ. We are the controller of the personal information described in this policy.

If you have any questions about your information, email thetutorgenie.ls17@gmail.com or call 07872 469517.

The information we collect

When you fill in the booking form, we collect:

  • your name, phone number, email address and home address
  • your child's name, date of birth, school and school year
  • the subjects you would like help with
  • anything you tell us about your child's needs and your concerns

When you contact us by phone, email or WhatsApp, we keep the messages you send us.

When your child has lessons, we keep records needed to teach them well, such as lesson notes, progress updates and assessment results, along with records of bookings and payments.

The concerns section of the form may include information about your child's health, special educational needs or wellbeing. Please only share what you are comfortable with. We use it solely to plan your child's lessons, and you can ask us to delete it at any time.

We do not knowingly collect information directly from children. Booking requests should be made by a parent or guardian.

How we use it and why

  • To reply to your enquiry and arrange lessons. This is necessary to take the steps you have asked for before agreeing to lessons.
  • To teach your child and keep you updated on their progress. This is necessary to provide the tutoring we have agreed with you.
  • To manage bookings, cancellations and payments. This is necessary for our agreement with you and to meet our legal and accounting obligations.
  • To use information about your child's needs to tailor their lessons. We rely on your explicit consent, which you can withdraw at any time.
  • To keep children safe. If we ever had a safeguarding concern, we may share relevant information with the appropriate authorities where the law allows or requires it.

We do not use your information for marketing, and we never sell it.

Some of these providers may process information outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.

  • Enquiries that do not lead to lessons: we delete them within 12 months.
  • Records for children who have lessons with us: we keep them while lessons continue, then delete lesson notes within 12 months of lessons ending.
  • Booking and payment records: we keep these for up to 6 years, as required for tax and accounting.
